Suite Seven Travel, LLC (“Suite Seven,” “we,” “us,” or “our”) respects the privacy of travelers, prospective clients, and visitors to our website. This Privacy Policy explains how we collect, use, disclose, and retain personal information in connection with our website, inquiries, editorial emails, and travel planning services.

This policy applies to suiteseventravel.com and communications with Suite Seven. It does not govern the independent privacy practices of hotels, airlines, cruise lines, tour operators, insurance providers, payment processors, or other travel suppliers.

We collect information you provide, information created through our work together, and limited technical information generated when you use the website.

Information you provide

  • Contact details, including your name, email address, telephone number, and preferred method of communication.
  • Inquiry details, including destinations, possible travel dates, number and ages of travelers, estimated trip investment, preferred hotels, interests, celebrations, and service preferences.
  • Traveler details needed after an engagement begins, which may include legal names, dates of birth, nationality, passport information, loyalty-program numbers, dietary preferences, accessibility needs, and relevant health information you choose to share.
  • Communications, approvals, feedback, and records of the services you ask us to arrange.
  • Newsletter enrollment and other marketing preferences.

If you provide information about another traveler, you represent that you are authorized to do so and will make this Privacy Policy available to that person.

Payment information

Travel payments are generally processed by travel suppliers or approved payment-service providers. We do not ask you to send full payment-card details, passport copies, or highly sensitive information through ordinary email unless we expressly provide an appropriate secure method. A supplier or payment provider may collect and process payment information under its own privacy policy.

Website and device information

Our hosting and security providers may automatically receive limited technical information, such as your IP address, device and browser type, referring page, pages requested, timestamps, and security or diagnostic logs. We use this information to deliver, maintain, protect, and understand the website.

We use personal information as reasonably necessary to:

  • Respond to inquiries and determine whether Suite Seven is a suitable fit for a requested journey.
  • Design itineraries, evaluate hotels and experiences, make and service reservations, and communicate with travel suppliers.
  • Provide pre-travel guidance, trip documentation, and reasonable support during travel.
  • Process or facilitate authorized payments and maintain business and accounting records.
  • Send service communications and, when requested, editorial or promotional emails.
  • Operate, secure, improve, and troubleshoot the website and our services.
  • Comply with legal obligations, enforce agreements, prevent misuse, and protect travelers, Suite Seven, and others.

The website may use cookies or similar technologies that are necessary for security, basic operation, and user preferences. We do not currently use third-party advertising cookies or cross-site behavioral advertising on the website. If our practices materially change, we will update this policy and provide any notices or choices required by law.

  • Hotels, airlines, cruise lines, tour operators, destination partners, transfer providers, guides, insurance providers, and other suppliers involved in a requested or confirmed journey.
  • Service providers that support website hosting, email, secure payments, itinerary delivery, records, accounting, or professional operations, subject to appropriate safeguards where applicable.
  • Professional advisors, insurers, auditors, regulators, law enforcement, or courts when reasonably necessary to obtain advice, protect rights, respond to lawful process, or comply with law.
  • A prospective or completed purchaser, successor, or other party in connection with a merger, financing, reorganization, sale of assets, or similar business transaction, subject to customary protections.

Travel suppliers are independent businesses and may use traveler information for their own purposes. Their privacy notices and terms govern their processing.

Suite Seven does not sell personal information for money. We also do not share personal information for cross-context behavioral advertising as those terms are defined under applicable U.S. state privacy laws.

If you ask to receive A Note from Suite Seven or other editorial communications, we may use your email address to send them. You may opt out at any time by using the instructions in the message or emailing us at frontdesk@suiteseventravel.com. Opting out of marketing does not prevent service messages relating to an inquiry, active engagement, or confirmed travel.

We retain personal information for as long as reasonably necessary to respond to an inquiry, provide requested services, maintain business and tax records, resolve disputes, protect against fraud or misuse, and meet legal or supplier obligations. Retention periods vary by the information and purpose. When information is no longer reasonably needed, we take steps to delete, de-identify, or securely dispose of it, subject to legal and operational limitations.

No method of transmission or storage is completely secure, and we cannot guarantee absolute security. Please use the secure method we specify when sharing passport, payment, medical, or other sensitive information.

The website is intended for adults and is not directed to children under 13. We do not knowingly collect personal information directly from children through the website. A parent, guardian, or authorized adult may provide information about a minor traveler when it is necessary to plan or arrange travel.

Travel planning often requires information to be sent to suppliers in countries other than your home country. Privacy laws in those locations may differ. By asking us to arrange international travel, you understand that relevant traveler information may be transferred to and processed by suppliers in the destinations or transit points involved in the journey.

Our website and communications may link to independent websites. We are not responsible for their privacy, security, content, or practices. Review the privacy notice of any third party before providing information.
